JOB TITLE:

Director, Business Operations - UW Libraries

JOB PURPOSE:

Provide leadership for the financial and business operations of the UW Libraries. Manage all aspects of budget planning, forecasting, development, management, and control for the Libraries, and supervise the work of Dean's Office business staff. Maintain a strong division-wide perspective on mission, goals, and programs, and serve a member of the Libraries' leadership team.

The Director of Business Operations reports to the Dean of Libraries.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Forecast and develop the annual budget for the Libraries. Prepare analyses and projections to use in financial planning. Manage changes in personnel/position budgets year to year. Monitor spending during the fiscal year addressing variances as necessary. Accompany and assist the Dean of Libraries in presenting the budget to various levels of University administration.
  • Manage and direct business operations and financial activities within the University Libraries ensuring accountability and compliance with Libraries, University and external funding agency policies. Assist leadership in planning use of endowment funds and oversee spending. Evaluate effectiveness of internal business processes initiating and implementing policy and procedure changes on an ongoing basis to realize improvements and efficiencies. Act as cost center approver for UW Libraries. Regularly review reports and monitor all financial activities. Model and encourage best business practices.
  • Prepare complex financial reports and make recommendations to the Libraries leadership team. Provide reports that analyze expenditures in relation to budget goals, historical trends, forecasts, future challenges and in order to find savings and meet budget reductions. Participate in self-studies and special projects.
  • Provide oversight for all procurement activities within the Libraries. Route contracts and supporting documentation through Procurement and Legal for approval. Act as resource and support person for contracts, working directly with service providers and library leadership. Oversee the process to request estimates from UW Operations and Telecommunications and act as the budget authority on the work orders. Manage all accounts payable and accounts receivable activities.
  • Oversee student employment within the University Libraries ensuring compliance with applicable rules and regulations. Forecast and develop budgets to support the employment of students in the daily operations of the Libraries. Manage the Libraries' student pay plan and direct the procedures and policies for student time reporting. Supervise the assignment of approximately 43 federal work-study awardees within the Libraries. Train and educate supervisors regarding student employment and act as a resource.
  • Lead staff in the day-to-day operations of the Libraries Dean's Office fostering an environment of teamwork and responsiveness to internal and external customers. Help to communicate and explain new directives, policies and/or procedures to Libraries employees.
  • Participate as part of a team that oversees all UW Libraries facilities. Identify funding for large projects to enhance services and improve spaces. Oversee maintenance agreements, repairs, and replacement of furniture and equipment within the Libraries. Act as the property admin for the Libraries. Work closely with UWIT and individual library units and divisions on technology needs.
  • Stay current on all HR policies and procedures, working with Libraries' administration and supervisors to ensure understanding and compliance. Serve as a resource for time and leave reporting within the Libraries, educating and advising supervisors and employees as necessary.
  • Provide policy level advice to the Dean of Libraries. Participate in decision making as part of the Libraries administrative team representing financial considerations and perspectives of staff employees.

REMOTE WORK ELIGIBILITY:

This position provides vital support to campus customers and requires the successful candidate be available to work on campus.

MINIMUM QUALIFICATIONS:

  • EDUCATION: Bachelor's degree
  • EXPERIENCE: 7-years progressively responsible experience in a complex business office setting
  • LICENSURES, CERTIFICATIONS, REGISTRATIONS, OR OTHER REQUIREMENTS: none

DESIRED QUALIFICATIONS:

* Supervisory experience
* Familiarity with cloud-based business software
* Microsoft Excel proficiency
* Familiarity with Human Resources rules and regulations
* Degree in finance, accounting, or business administration
