Job Description

Job Summary

Responsible for coordinating and promoting recruitment. Works closely with the team to ensure continuity of a comprehensive, first-class experience with Corewell Health, in all facets.

Essential Functions

  • Works closely with Physician Recruiters to construct candidate itineraries that are comprehensive, meaningful and polished, consistently giving the Corewell Health Exceptional Experience. Manages all aspects of candidate and recruiter travel, lodging and meals.

  • Initiates independent problem solving and follow-up with recruiters or leadership as needed. Maintains liaison with all levels of executive administration, physicians and outside organizations. Function as a liaison between Physician Recruitment department and outside Recruitment Firms.

  • Maintains and updates Physician Recruitment databases of all candidate profiles and monthly recruiter activity, to assist with generating recruitment reports and tracking candidate metrics. Ensures completion of reporting in an accurate and timely manner. Data collection includes distribution/verification of provider professional references, background checks and internal candidate evaluation surveys.

  • Works with Physician Recruiters to identify, recruit and on-board qualified professionals. These responsibilities include, but are not limited to, posting positions on internal and external job websites, performing related Internet research/mining, providing answers to candidate inquires, and scheduling initial Recruiter phone screens. Additionally, assist Physician Recruiters to identify, reserve, coordinate, and possibly attend, potential exhibiting opportunities.

  • Ensures that processes and services are continuously monitored for quality, cost-effectiveness and efficiency. Engages in process and quality improvement activities. Processes outside vendor invoices and reimbursements. Actively seeks outside direct-billable accounts with a focus on convenience, quality of services, and effective use of Physician Recruitment budget. Maintains office supplies for overall office operations.

  • Monitor potential candidate requests via Physician Recruitment e-mail box and Physician Recruitment toll-free telephone number. Manages all aspects of high level recruitment meeting preparation. Includes scheduling with executive assistants, securing meeting location and resources, assisting with generation of supplemental materials. Travel to meeting site to assist with setup.

  • Compose and distribute new provider acceptance notifications, maintain accurate distribution list. Work with Physician Navigation team to schedule Pre-Arrival meetings for recently-hired physicians. Schedule Pre-Arrival meetings for other providers as needed.

  • Assist Physician Recruiters with candidate site visits as needed. Includes transportation of candidate to meetings, answering questions as they arise during visit, and serving as a knowledgeable representative of Corewell Health.

Qualifications

Required

  • High School Diploma or equivalent

  • 2 years of relevant experience as an administrative assistant to an executive(s) in a large organization, delivering exceptional service to customers in business, human resources, recruiting, sales, or related area

Preferred

  • Associate's Degree Recruitment, Human Resources, or related field
