Role Summary:

The Specialist, Document Controls role is responsible for compiling and maintaining Job Books and other documentation for Buckeye assets.

Responsibilities & Essential Functions include:

  • Receiving Documentation. Receiving as-built drawing packages, Job Books, and other required documentation from project managers, engineers, drafters, and others.
  • Tracking Documentation. Tracking documentation deliverables and maintaining KPI's regarding receipt deadlines as outlined in the Document Management Plan.
  • Record Distribution. Distributing asset records as outlined in the Document Management Plan.
  • Documentation Maintenance. Updating, cataloging, and maintaining various integrity-related documentation (weld x-rays, hydrotest information, tank repairs, etc.).
  • Archiving Files. Archiving completed project files and handling requests for archived information (i.e., relocations and facility).
  • Analyzing Documentation. Analyze Job Books for quality and thoroughness. Follow-up with Project Managers as needed to meet PHMSA requirements.
  • Reporting Results. Creating reports as requested.
  • And other duties as assigned.

Position Requirements:

  • Associate's or Bachelor's Degree in related field is a plus.
  • 1+ year experience of record reproduction/organization experience required.
  • Knowledge of pipeline industry and terminology is highly desirable.
  • Must have working knowledge of Microsoft Office, including SharePoint.

    Certificates & Licenses:

    • None required.

    • Strong communication and analytical skills required. Attention to detail and organizational skills are very important.

    Essential Functions:

    • This position requires the ability to safely and successfully perform essential job functions consistent with ADA, FMLA and other federal, state and local standards, including meeting qualitative and or/quantitative productivity standards.
    • This role requires the ability to maintain regular, punctual attendance consistent with the ADA, FMLA and other federal, state and local standards.
    • This position requires compliance with all personnel policies.
    • Heavy lifting up to 25 pounds may be required.
