Job Summary

The Strategic Projects Manager plans, directs, coordinates, and supports the work activities and resources related to the university's marketing and communications initiatives. This includes all project management and execution of operations within the department.

Job Description

Typical duties may include but are not limited to:

  • Serves as the primary client-facing liaison for University Marketing & Communications to university, vendor and external community constituents.
  • Oversees creative development and production processes, coordinates all production activities and operations to ensure that all projects are strategically aligned and flow smoothly through the process from concept to execution.
  • Develops processes, milestones and timelines to create project plans that ensure projects meet objectives and expectations.
  • Plans, directs, and coordinates the production, processing, and distribution of marketing and communications materials.
  • In conjunction with marketing leadership, provides creative leadership of processes to generate ideas for marketing and communications projects that achieve strategic goals.
  • Plans, negotiates and purchases media including but not limited to TV, radio, print, out-of-home and digital. Ensures cost-effectiveness of campaigns and productions and coordinates all payment of vendors with the department Business Manager.
  • Develops and maintains agreements with media and production vendors. Assists with management of operations, purchasing, billing, and generating cost estimates.
  • Leads weekly project status meetings and works with the UMC team to keep projects on track and within budget. Is the primary owner of Basecamp project management software updates and administration.
  • Helps create and facilitate focus group research input sessions when needed to inform creative work.
  • Monitors processing schedules and production orders to make decisions concerning inventory requirements, staffing requirements, work procedures, budget limitations and time constraints.
  • Oversees daily activities for project management and production control to ensure timely and effective reporting, tracking, follow-up, and communication. This includes assigning tasks and balancing workloads across the team. Ensures clients are informed of job progress, timeliness and delivery specifics. Ensures all materials needed for a job are received from clients ahead of work commencement.
  • Reviews progress, evaluates results, implements new processes, and proactively promotes best practices.
  • Helps ensure that copy is readable, clear, consistent, accurate, factual, and conforms to FGCU messaging priorities, branding guidelines, SEO best practices and grammar and style standards.
  • Reviews and proofs marketing and promotional assignments, such as brochures, flyers, newsletters, posters, ads, reports, news and magazine features, web copy and recruitment publications.
  • Ensures the accuracy and timeliness of all information entered into job tracking and monitoring system.
  • Oversees the maintenance of files, databases and electronic records of design and creative materials. Manages the check out and return process for any UMC resources (e.g. step and repeats) that are borrowed by the campus community.

Additional Job Description

Required Qualifications:

  • This position requires either seven years of directly related full-time experience or, as an alternative, a Bachelor's degree from an accredited institution in an appropriate area of specialization and three years of full-time experience directly related to the job functions.
  • Professional full-time experience in marketing, communications, project management, or related field.
  • Experience with work management platforms such as Basecamp.
  • Any appropriate combination of relevant education, experience, and/or certifications may be considered, including experience in project management and/or agency traffic management.
  • Experience operating a personal computer and proficient with Microsoft Office (Word, Excel, Access, PowerPoint, and Outlook).

Preferred Qualifications:

  • Project Management Professional certification
  • Five years of professional full-time experience in marketing, communications, project management, or related field.
  • Experience with communications or marketing project management, graphic design, writing, print layout and design, print production, digital media design and/or social media design.
  • Experience working in higher education.

Knowledge, Skills & Abilities:

  • Knowledge of marketing principles, including promotion, fundraising, and public relations.
  • Knowledge of media buying and production methods, including traditional and digital channels.
  • Knowledge of print production processes.
  • Knowledge of principles and processes for providing customer service, including customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction.
  • Skill in public speaking and delivering presentations to individuals and groups.
  • Excellent interpersonal, verbal and written communication skills.
  • Skill in completing assignments accurately and with attention to detail.
  • Extremely strong organizational skills and an ability to prioritize and complete simultaneous projects within deadlines.
  • Ability to thrive in an organization that values the diversity of its student body and workforce and actively promotes an equitable environment.
  • Ability to work successfully as both a member of a team and independently with minimal supervision.
  • Ability to work under pressure and meet deadlines.
