Job DescriptionThe Grant Administrative Assistant duties according to prescribed procedures which require applications of basic secretarial skills and knowledge of office practices. Administrative Assistant is responsible for administrative functions such as drafting correspondence, scheduling appointments, assisting with daily student activities, organizing and maintaining files and grant's budget ($300,000 to $400,000 per year). Works under the direction of Grant Director.

Essential Functions

  • Employee will demonstrate TSTC Core values of Excellence, Accountability, Service and Integrity with internal and external stakeholders, customers, students and members of the community.
  • Perform clerical duties which include answering the telephone, greeting visitors, preparing materials, and answering questions related to the grant. Maintain students' records and assist with database entry and maintenance of participant services and activities. May supervise student workers/work studies engaged in executing program activities.
  • Prepare requisitions, travel requests, travel vouchers, and make travel arrangements which include transportation and accommodation. Monitor and maintain control of expenditures and billing/invoices within the grant budget. Track expenditures and reconcile college budgets statements with internal program budget spreadsheets. Assist the Grant Director in preparing, analyzing, and submitting reports for TSTC Office of Sponsored Programs and the US Department of Education.
  • Create, modify and submit documents such as reports, emails, and other correspondence using word processing, spreadsheet, database and/or other presentation software such as Microsoft Office or other programs. Coordinate the collection of information and preparation of reports and compile the gathered data for reports. Work may require direction of other employees carrying out assigned details. Responsible for assisting the Grant Director, advisor, counselor, and tutors as needed.
  • Develop the grant calendar of scheduled appointments, meetings, special events and activities. Coordinate the planning, preparation, and production of materials for meetings and special events related to the grant. Maintain inventory of furniture, equipment, and office supplies.
  • Travel for professional development opportunities at local, state, and national level. Travel for student enrichment trips, leadership retreat and cultural excursions. May attend off-site meetings.
  • Other duties as assigned which support the purpose and initiatives of the grant as well as the College.

Education/Experience/Knowledge/Skills

  • High school diploma or GED with relevant work experience; Associate Degree preferred
  • Three years clerical/secretarial work experience.
  • Proficiency handling multiple responsibilities and priorities.
  • Knowledge of computers and office equipment.
  • Strong oral and written communication skills (Bilingual required)
  • Ability to compose effective correspondence and to keep complex records.
  • Ability to prepare accurate reports from different types of information.
  • Demonstrate strong customer service at all times.
  • Commitment to project goals and objectives.
  • Demonstrate professional or personal experience in overcoming barriers similar to those facing the project participants.
  • This job description covers a position in which the percentage of time spent on the essential functions will vary based on the workload and will ultimately be determined by the supervisor.
