Executive Assistant II | Office of the Scientific Director

Farmington, CT (onsite, 5 days a week


This role provides senior level administrative support for the Office of the Scientific Director of The Jackson Laboratory for Genomic Medicine ("JGM") and ensures the smooth and efficient running of the Scientific Director's office through effective organization and management, including a clear understanding of the Scientific Director's objectives and expectations.

Key Responsibilities

  • Serves as the primary contact and liaison for the Scientific Director.
  • With advanced attention to detail, provides day-to-day administrative support to the Scientific Director (e.g., maintains sensitive and confidential files; screens, prioritizes and/or responds to internal/external correspondence/phone calls or requests; maintains complex calendars, schedules, meetings; arranges multi-leg domestic and international travel, processing all travel expense reports and expenditures for reimbursement).
  • May review and screen emails of the Director, analyzing needs and problems, to sort and determine approach and priorities for immediate action in conjunction with Director and/or other supervisors.
  • Responds to a variety of time-sensitive and/or confidential requests for information and other requests of the Scientific Director. Evaluates and refers matters for appropriate handling and coordinates, compiles and documents relevant data and background information to support Director's decision-making or problem resolution.
  • Serves as the internal point person for the Office of the Scientific Director, engaging with the faculty and research staff to build strong relationships and develop internal communications tools, requiring a solid and diverse knowledge of JAX programs.
  • Organizes special events and hosts visitors to JGM. Participates in meetings and special event planning with internal and external partners.
  • May provide supervision to other administrative staff.

Knowledge, Skills and Expertise:

  • Bachelors degree preferred with a minimum of 5 years of relevant experience.
  • Proven ability to handle confidential information with discretion.
  • Ability to take independent initiative and exercise good judgment in decision making.
  • Knowledge of administrative processes as would typically be acquired through work experience in a professional business environment working with senior level management.
  • Writing skills sufficient to compose complex and executive level correspondences.
  • Proficient with MS Office, conferencing platforms (e.g., Zoom, Teams, etc.), and enterprise programs (e.g., HRIS, financial systems, travel programs, etc.).
  • Financial acumen to assist with budget development and monitoring.
  • Demonstrated success in managing multiple projects to successful completion with demanding deadlines and changing priorities.
  • Demonstrated ability to work collaboratively, lead and administer projects of significant importance.
  • Excellent project and event management skills.
  • Strong interpersonal skills to work in a high-profile environment requiring discretion, judgment, tact, and diplomacy.
  • Some travel, including international, may be required.
  • Must be flexible and available for after-hours support.

Salary: $68,344 - $109,350
